Automated Library Resources Dispersal System

Automated Library Resources Dispersal System

INTRODUCTION

We are now in the world of innovation wherein the use of technology is rampant in our society now. Life is more convenient. Unlike before, most of the companies and institutions are now using computers in every transaction. The use of computers and gadgets are not only for leisure; it is necessary.

Technology nowadays takes a big part of progress for the success of any institution especially in digital age; it is necessary for any institution to use a systematic processing for fast transaction and convenience. In other countries, most of the equipment’s are computerized especially in schools. Students are educated and taught to innovate things.

Most of organizations now use computers. One of those is the Library, an organization that used computer programs for convenience. However, this organization still needs an improvement and additional computer programs in their offices. It is essential to have a good quality process for the staff and students to be more updated and competitive.

It is a mere fact that using computer-based system in office transaction is reliable file organization of file for fast and easy processing. That’s why, it is important to have a Library Resources Dispersal System for file keeping and for fast and convenient library transactions.

Library Resources Dispersal System will be of great help to manage the recording of books from purchase requisition until the distribution to the students. The system will be automated and have customize information record management to aid the needs of the employees of the library in recording important information regarding the book received and deals with the distribution to students.

With this, the researchers conceptualize the Library Resources Dispersal System to help organize and facilitate the dispersal and monitoring of books in the library. It is one way to improve the effectiveness and efficiency of the distribution of books to the students. The system also provides accurate, fast and secured information and monitoring of transactions and reports.

Statement of the Problem

  1. What is the level of performance encountered in a manually – assisted library dispersal system in terms of:

Speed

  • Purchase Order Creation
  • Releasing of Books
  • Report Generation

Accuracy

  • Inventory of Books
  • Student Book Acquisition Records

Security

  • Users Access
  • Database Maintenance

  1. Is there a significant difference in the level of performance between the manual and the automated Library dispersal system in terms of:

Security

  • Users Access
  • Database Maintenance

Speed

  • Purchasing of Books
  • Releasing of Books
  • Report Generation

Objectives

The main objective is to design and develop an automated Library Resources Dispersal System.

Specifically it aims to provide the following:

  • Manage accounts for various users
    • Add users
    • Update users
    • Delete users
  • Manage Students
    • Add students
    • Update records
  • Manage book records
    • Add Books
    • Update books
  • Generate Reports
    • Inventory
    • Sales
  • Back-up and repair database

Significance of the Study

The person who will benefit this study are the following:

Future Researchers. The result of this study will serve as basis or reference to them to determine whether an automated library resources dispersal system will improve its library services.

Researchers. This study will help enhance the skill of the researchers in web and database management system.

Librarian/Staff. The result of this study will help the staff of the library to make their work more efficient.

School Administrator. The result of this study may serve as a tool in informing the school management about the performance of their manually-assisted library resources dispersal system and the advantage of using the automated system.

Students. The proposed system will help the students provide fast and accurate responses to their queries.

Scope and Limitation of the study

This study will only focus on monitoring of incoming, received books from the supplier and releasing of books down to student from grade 1 up to senior high with regular books, as for special order of books and on college level, if there is need on books for order, there is a feature on the system which can add category/level and additional books; each book will have their primary key for reference, example 000001 – Math 1; this will not focus on the payment processing for supplier, the system will just generate the reports for the accounting like, what are the books received, the quantity and amount.

Technology to use and specifications

Development

Software Specification

Here are the lists of required software’s to be used during the development of the system:

Hardware Specification

The importance of the hardware during the development and implementation of the system must be given attention for the system needs compatible hardware so that it can perform its desired functions.

The following is the list of hardware requirements in developing and implementing the system.

  1. One computer set/laptop

Specifications:

  • Processor: Intel Dual Core 2.0Ghz or equivalent
  • Memory: 1GB DDR2(minimum) or higher
  • Disk Storage: 160 GB(minimum)

Programming Environment

The front end language is usually visible to user in the form of an interface; in this case the system uses the html, CSS and JavaScript as the front end languages and the java, PHP and MySQL as the back end language of the system. Back end languages are the languages used to write the parts of the program used to interact with the hardware. In the system the java is compatible to the hardware that the system uses.
