Processing clearance in the traditional manner requires a pen and paper approach, which is time-consuming, error-prone, and difficult to validate signatures. Academic institutions need a method for processing clearances that is both time-efficient and guarantees the integrity and consistency of the clearance.

Proposed Solution

The address the concerns mentioned above, the researchers of the study aims to design and develop a system wherein clearance processing was automated. The proposed solution for the problem is a clearance processing system, which can be used by both the students and the faculties. Students and faculty members can log in and request for clearance. After that, the list of applications will be sent to the appropriate departments for review and approval. Students and faculty may use their computers or mobile devices to check on the status of their clearance. They will also see which departments have not accepted their clearance and what requirements they must meet. This method is very effective and can save a significant amount of paper.

Objectives of the Study

General Objective – the primary goal of this project is to eliminate the manual method of processing clearances and replace it with an automated method.

Specifically, the project aims to:

  1. To design a system that will automate clearance processes.
  2. The capstone project aims to develop a system that will eliminate pen and paper approach in clearance processes.
  3. This project would develop a system will eliminate the possibility of human errors in processing clearances.
  4. To design a system that is time consuming and will validate signatures.
  5. Output of the study is subject for the testing and evaluation purposes.
    1. To determine the overall performance of the system.
    2. Establish the acceptability of the end-users.
  6. Design a project that will store the records properly and in organize manner using the database technology.
  7. To develop a system that is easy to operate and should be completed within a short period of time and must fit with the budget of the end-user.

Significance of the Study

The success of the project will benefit the following groups:

Students. The system will help them save physical effort in processing their clearance. All they need to do is to apply for clearance using the system.

Faculties. This will lessen their work in processing loads of students’ clearances.

Researchers. The researcher of this project will also be benefited by gaining additional knowledge and skills in developing responsive application.

Future Researchers. They can use the study as the basis if they also wish to design and develop a clearance processing system. Output of the project is very important to the next batch of researchers. Documents and source code of this project will serve as their guide and reference.

Development tools of the project

The application for the proposed project on clearance processing will be designed in web and mobile environment.

First option of the researchers is to develop a responsive web application that can also be viewed and accessed through the user’s mobile device. This option will use PHP, MySQL/MariaDB and Bootstrap.

Second option of the researchers is to develop the project in two platforms, one for web and one for mobile application. For the mobile application development, the researchers can select from XAMARIN, Java or Kotlin.
