Abstract

A law firm is an office maintained by lawyers for the practice of law. It is where people with legal affairs or matters go to consult lawyers. The law firm is offices that require management; lawyers manage piles of documents, appointments, client’s record, services records, and other activities in the law firm. Conventionally, law firms are managed manually. The clerical staff and the lawyer’s sort on using printed records and physical storage which is very inefficient. Important documents may be misplaced and attorneys may face difficulties in retrieving the documents. With this, the researchers aimed to develop an automated system that will streamline the management of law firms’ daily operations and transactions. The system will let the law firms electronically record and keep important documents for sake-keeping and easy retrieval. Requesting appointments in law firms will also be easier for clients; they can register in the system and make an appointment before they visit the firm. The system will ensure that clients can have easy access to services that involve an attorney and legal processes. The researchers will develop the project following the Software Development Life Cycle (SDLC) technique. The system’s target end-users are law firms, attorneys, and their clients. The implementation of the system will make law firm office management easy, fast, convenient, and efficient.

Introduction of the Study

The capstone project, entitled “Law Office Management Information System” is designed to streamline law firm office’s daily operations and transactions. The said project will automate recording, storing, and management of client’s records, attorney’s records, services records, payment records, and other activities in the firm. The records and other documents of the firm will be stored in a database and is accessible by authorized personnel for easy retrieval.

Before the emergence of technology, law firms manually managed their operation. From recording clients and services information to processing clients’ requests for legal service to payment and other transactions of the firm. The clerical staff and the lawyer’s sort on using printed records and physical storage which is very inefficient. Important documents may be misplaced and attorneys may face difficulties in retrieving the documents. The manual method is inefficient, time-consuming, and requires too much effort. There is an evident need to upgrade the current system used in managing daily operations and transactions of the law firm office.

Proposed Solution

The researchers proposed the development of the Law Office Management Information System to address the aforementioned difficulties. The proposed system will automate the legal firm’s everyday operations and transactions, such as recording, storing, and managing client records, attorney records, service records, payment records, and other firm-related activities. The solution will allow law firms to record and store crucial documents electronically for safekeeping and retrieval. Clients will be able to request appointments at law offices more easily; they will be able to register in the system and schedule appointments ahead of their visit. Clients will have simple access to an attorney and legal services through the system.

Objectives of the Study 

General Objective-the researchers generally aim to design, develop, and implement an automated system to manage daily operations and transactions in a Law firm office.

Specifically, the researchers aim to:

  1. To design a system that will eliminate paperwork and physical storage in Law firm offices.
  2. To automate transactions between lawyers and their clients.
  3. To allow electronic booking of appointments in law firm offices.
  4. To automate the recording of clients’ information and the service they inquired about from the law firm.
  5. to electronically store records of transactions for safe-keeping and easy retrieval.
  6. To subject the output of the project to an evaluation in terms of user acceptability, effectiveness, quality, productivity, portability, and reliability.

Scope of the Study 

The research study mainly focuses on the development process of the Law Firm Office Management System. The system is limited only to Law firm office use. The system will automate and streamline the day-to-day transactions and daily operations in the law firm. From recording to storing of documents, payment of clients, and other activities in the firm. The researchers will gather a sample size of law firm attorneys and their clients to participate as respondents of the study.

Significance of the study

The success of the project is significant to the following:

Law firms. The success of the project will directly benefit them. The project will help them in their daily operations and transactions. The system will improve the services they offer to their clients.

Attorneys. They can have an organize records and storage of their client’s information and services availed. They can easily and conveniently retrieve documents as well as track their appointments with their clients.

Clients. The system will let them avail themselves of legal services from law firms in an easy, fast, and hassle-free manner.

Researchers. Their experience in conducting the study will further enhance their skills and knowledge in conducting successful projects.

Future Researchers. The study can serve as their reference in developing their version of the Law Office Management Information System.

Conclusion

The researchers conducted the study to assess the pre-existing system used in managing records of operations and transactions in the law office. The study reveals that law firms are facing difficulties in managing piles of documents since their nature of works involves a lot of paper works. In line with this, the researchers developed an automated Law Office Management Information system and presented it to the respondents and target end-users. The result of the study showed that the developed system met the needs and requirements of the respondents and intended users. The respondents rated the system satisfactorily in terms of user acceptability, effectiveness, quality, productivity, portability, and reliability.

Hence, the researchers concluded that the developed system is an effective platform for law firms to efficiently manage their documents and other records of the firm. The system is reliable for recording and safe-keeping the documents. The system will make law office management easy, fast, convenient, and efficient.

Recommendations

The significant result of the study prompted the researchers to highly recommend the implementation of the system. The system is strongly recommended for its efficiency and reliability that can be rendered to the intended users. The implementation of the system will simplify and unify the management of the law office’s daily operations and transactions. The researchers also suggest that the target end-users should have enough knowledge on how the system works to properly use it.

The researchers specifically recommend the following:

  1. The researchers suggest that law firms should adapt and install the system to ease up and simplify the management of their daily operations and transactions.
  2. The researchers recommend that attorneys should use the system to have an organized list of their appointments and records of their services rendered to their clients.
  3. The system implementation is highly recommended for it will make law office management easier, faster, convenient, and efficient.
