This study was carried out by the researchers to evaluate the current dormitory management methods. Previously, these management areas were manually processed. To manage the aforementioned areas, the majority of dormitories employ a manual approach. The dormitory’s operation will be slowed by manual operation, which will have an impact on the guests’ experience while staying in their rented rooms and beds. The Dormitory Management System project is a web-based system that was designed and developed using PHP, MySQL, and Bootstrap. The dorm owner had ordered that the project be completed to automate the dorm’s transactions. The owner outlined the transaction flow, which the developers subsequently translated into a technical format in the form of a data flow diagram, entity relationship diagram, and finally a prototype. The program was then put through its paces by IT specialists, who graded it using the McCalls Software Quality Model. IT professionals recommended various additions and functionalities for the system’s development; the researchers then tweaked the system before handing it over to end-users for user acceptability testing. The researchers showed the end-users the results and gave them instructions on how to use the newly created project.

The capstone project, entitled “Dormitory Management System” is designed specifically for dormitory management automation. To address the aforementioned concerns, the researchers of the study proposed the development of the Dormitory Management System. The said project is designed to automate recording and management information of the boarders or tenants, records of rooms and beds, water and electricity bills, income and expenses, and other transactions of the dormitory. The project will eliminate paperwork and manual management in the dormitory. Records also will be accurate, reliable and are electronically stored for easy retrieval. The system will increase the operational efficiency of the dormitories as well as the tenant’s overall experience.
Objectives of the Study
General Objective – The main goal of the researchers is to design, develop and implement a Dormitory Management System that digitally transforms management operations and processes in the dormitory.
The researchers specifically aim the following objectives :
- To establish a centralized tenant records management and management reporting system.
- To make dorms run more smoothly in general.
- The owner or manager of the dormitory’s workload should be reduced and minimized.
- To improve the efficiency of the dormitory’s operations and the occupants’ experience while there.
- To assess the system’s usability, functionality, effectiveness, quality, productivity, and dependability from the perspective of the users.
Scope of the Study
This research focuses on the Dormitory Management System’s development process. The researchers will create, test, and implement a Dormitory Management system that will make it easier to manage dormitory operations and transactions. The system is solely intended for usage in dormitories. Owners, managers, and tenants will be among the survey’s participants.
