Abstract

The healthcare sector continues to adapt the use of technology to further improve the services rendered to the hospital’s stakeholders. A hospital is a home where patients are treated. In the process of treating patients, health physicians rely on the records of the patient’s ailments (previous and present), the results of their medical laboratories, and the result of consultations as a reference to diagnose the patient’s illness. One vital activity in the hospital is records management specifically medical records of patients. The Medical Record System is an area of clinic office function. These include patient’s personal information, official health records, medical and dental history, daily transaction, medicine log and inventory, common and uncommon illnesses. The clinic is responsible for keeping these records secure and accessible. This is because these records serve as a basis in producing patients’ information like medical and dental history. This will help the clinic personnel process records and keep the patient’s information in a faster and accurate way. It will help to keep and handle essential information of the patients for their convenience. Clinic personnel can easily access and retrieve information regarding patients records.

Introduction of the Study

Technological innovation has empowered the healthcare field and provided them with better tools that will ease up their operation. The capstone project, entitled “Online Medical Record System” is designed to automate recording, storing, and retrieval of patients’ medical records. The system is a better initiative that will ensure accurately and sake-keeping of medical records.

Hospitals deal with loads of paperwork every day. As the number of patients increases, the larger the pile of medical records to manage. Patients’ medical records are held confidential as well as an important resource for future patient consultation. Conventionally, patients’ medical records are recorded on paper and are stored in physical storage. This method is inefficient and outdated. Records are prone to errors, can be misplaced, and is very time-consuming to retrieve. The pre-existing system of records management will slow the response time given by hospitals to the patient’s needs and inquiries. There is an intensified need to address this issue and further improve records management operations in hospitals.

Proposed Solution

To address the aforementioned concerns, the researchers proposed an IT-based solution. The researchers proposed the development of the Online Medical Records System. An online platform that will streamline the management of patients’ medical records. The system will eliminate the need for paper-based medical records and physical storage in hospitals. It will increase the accuracy of the patient’s medical records. The system will strengthen the security and confidentiality of medical records. Moreover, it will ease up and increase the response time of hospitals in retrieving medical records. Overall, The system will ease up and simplify the medical records management of hospitals.

Objectives of the Study

General Objective – the researchers generally aim to design, develop and implement a web-based medical record system to be used by hospitals as a centralized platform for managing patients’ medical records.

The researchers specifically aim the following objectives:

  1. To allow electronic recording of patients’ medical records.
  2. To store medical records in a centralized platform.
  3. To increase the accuracy of the information recorded in the patient’s medical history.
  4. To strengthen security and confidentiality of patient’s medical records allowing only authorized personnel to access.
  5. To allow easy and fast retrieval of patients’ medical records.
  6. To evaluate the system in terms of user acceptability, efficiency, portability, productivity, quality, and reliability.

Scope of the Study

This study concentrates on the development of an Online Medical Record System. The researchers will be designing a web-based platform that will electronically transform the recording, storing, and retrieval of medical records. The system is limited for use only by hospitals and healthcare facilities. The system will improve the overall efficiency of hospitals in managing patients’ medical records. The researchers will gather a sample size of hospitals, their staff, and patients to participate as respondents of the study.

Hospitals. The success of the project will directly benefit hospitals. The system will lessen the paperwork and the need for physical storage to store patients’ medical records. The system will improve the overall efficiency of hospitals in managing medical records of patients as well as their response time in addressing patients’ concerns regarding their records.

Staffs. The system will lessen their manual workloads allowing them to manage multiple medical records every day. The system will allow them to electronically record a patient’s medical history with high accuracy.

Patients. The system will ensure that their medical records are secured and held confidential. And that will also be easily retrieved for future reference.

Researchers. Their experience in conducting the study will further enhance their skills and knowledge in developing successful projects.

Future Researchers. The study will serve as their guide in developing their version of the Online Medical Record System.

Conclusion

This study was conducted to assess the current system used by hospitals in managing patients’ medical records. The initial investigation reveals that hospitals are reliant on a conventional approach which is to print medical records and store them in a physical store. This method was assessed to be inefficient and is prone to lots of errors. Thus, the researchers developed an Online Medical Record System to streamline the medical records management and presented it to the target end-users.

The result of the study showed that the developed system met the needs and requirements of the target end-users and respondents. The respondents rated the system satisfactorily in terms of user acceptability, efficiency, portability, quality, productivity, and reliability, The system is perceived to be effective inefficiently managing patients’ medical records. The system will make medical records management easy, fast, convenient, accurate, and efficient.

Recommendations

Based on the positive result of the study, the researchers highly recommend the implementation of the system. The researchers recommend the system for its efficiency and reliability that can be rendered to the target end-users. The researchers also suggest that before utilizing the system, the end-users should familiarize the features and functions of the system. The researchers mainly recommend that hospitals should implement the system. They should install the system in the office that is assigned to managing patients’ medical records. This is to ease up and simplify the recording, storing, and retrieval of medical records. The implementation of the system will make patients’ medical records. management easy, fast, hassle-free, accurate, and efficient.
