Information Technology has become an integral part of any kind of business in terms of automating business operations and transactions. The capstone project, entitled “Vehicle Repair and Maintenance Management System” is designed for vehicle repair and maintenance management automation. The said project will automate the vehicle garage’s operations and daily transactions. The system will automate operations such as managing vehicle repair and maintenance records, invoice records, customer records, transaction records, billing and payment records, and transaction records.
The Vehicle Repair and Maintenance Management System (VRMMS) is a computerized system that assists in the management of vehicle repair and maintenance activities. The system assists in maintaining a record of the vehicle’s history, parts, maintenance, and warranties. In addition, the system assists in the management of staff, schedules, and budgets. Typically, an ERP system is comprised of an integration of CRM and Web technologies. The following features are included in the main functionality: car history tracking, parts inventory management, vehicle repair workflow, and reporting. The following additional features are available: parts ordering via the web or an electronic kiosk integrated into the work area; scheduling of maintenance with reminders for upcoming service requirements; warranty claims tracking and workflow; parts reordering alerts based on historical usage; and parts inventory management with options for automatically reordering replacement parts at a preset time.

Objectives of the Study

- To create a platform where clients may inquire about vehicle repair and maintenance via the internet.
- To relieve vehicle garage owners and staff of paperwork and manual labor.
- To create a centralized database for vehicle garage records.
- To create an automated vehicle garage management system that is both efficient and dependable.

This part of the conceptual framework is also known as the System Requirements Determination or Definition. The Input phase of the model includes the following activities:
- Research on related literature, studies and systems
- Evaluation/Analysis of Requirements and Data gathered
The purpose of this phase is to provide an overview of the literature on the maintenance and repair of automobiles. In this chapter, we will explore studies into the factors that influence vehicle maintenance and repair behavior, as well as the consequences of maintenance and repair on vehicle safety and performance.
The purpose of this literature study is to provide a better knowledge of the important difficulties and challenges associated with the management of automotive repair and maintenance operations. In this section, we will look at the literature on the topics of car ownership and use, vehicle repair and maintenance, and customer service, among other things.
This is the part where the researchers will select and choose the best software development life cycle model that will fit for the project.
Analysis and Quick Design
During Analysis and Quick Design, the researchers did a personal interview with the respondents and the chosen client where the study was conducted. The respondents were given the chance to suggest how the laundry booking system will be designed. After conducting the data gathering, the researchers made an initial design for the proposed system which is the Vehicle Repair and Maintenance Management System.
The researchers will analyze all the data, user requirements and information. This phase also help the researchers to have an idea on how to create the system and have an idea on how the laundry booking system would be beneficial to the clients.
The researchers will start to develop the laundry booking system. It includes the design; how the system would look like based on user requirements, and the researchers/programmer will apply their knowledge on programming and design to make the system more interactive and user friendly.
This stage will include the compiling, building, demonstration also refinement of the data gathered by the researchers. The researchers first build a prototype based on the planed design and data tables. After building the prototype it will be demonstrated to the client. The researchers show the function of the system, the flow on how it works, and the functions of the features that are included in the system. The last stage is refinement where in the researchers will refine the system by client’s additional needs. This will include changes in features flow and functions based on the requirements.
This will include the feed backing of the proposed system after it will be implemented and had undergone testing by three Experts. It will also inform the researchers and the developer if there are any bugs, suggestion and if the system’s functionality will works well.
This will discuss the results of the testing wherein Three (3) Experts will evaluate the propose system. This will also discuss if the recommended functions and suggestion are met.
After the necessary steps were done, the project comes into life and implemented on the actual environment. A new project is born and will be maintained in order for the project to survive in the long run. The Vehicle Repair and Maintenance Management System will both benefit vehicle repair shops and vehicle owners if implemented and maintained.
Vehicle Repair and Maintenance Management System (VRMS) is being deployed in the company at the moment. The technology will aid in the tracking and management of all repairs and maintenance for all of the organization’s automobiles.
The technology will also assist in keeping track of the state of spare components and in ensuring that they are used as efficiently as possible. Everything linked to vehicles, such as registration, billing, and payment transactions will be handled by the system.
Specifically, the system is intended to maintain a vehicle database, which will have the most up-to-date information possible on all of the organization’s vehicles. An inventory management module is also included in the system, which keeps track of and handles the replacement parts for vehicles. Work order allocation, scheduling, monitoring, and reporting capabilities will all be provided by the system, ensuring that all available resources are utilized efficiently.
For the conceptual framework of the study, the researchers used the input, process, output (IPO) model. Researchers begin by completing the input phase, which includes Research, Survey, Observation, Research on related literature, studies, and systems, and Evaluation/Analysis of Requirements and Data Collected. The process phase will adhere to the System Development technique, which includes Planning, Analysis and Quick Design, Data Analysis, Prototype Cycle, Testing and Evaluation, and System and Statistical Survey Result Analysis. A new project is born, and it will be maintained in order for the project to be successful in the long run. If adopted and maintained, the Vehicle Repair and Maintenance Management System will benefit both vehicle repair shops and vehicle owners.
