About the Project

“Online School Documents Processing System” is a capstone project intended to be an online platform in processing different school documents. Processing of school documents will be done electronically by the use of the system.

Academic institutions do have a lot of documents to process and manage such as student records, student’s school forms, records of grades, records of attendance and others. Processing these documents, when done manually can consume valuable time and too much effort. Manually, these documents are produced in a hard copy and are mostly stored in a physical storage. In cases like students request for a specific document that they needed, they need to physically inquire in the schools registrar office which is a hassle for both the students and the staff in-charge.

The Online School Papers Processing System (OSDPS) is a web-based tool that enables schools to maintain and process student documents online. With OSDPS, schools may build and manage student profiles, upload and process student papers, and generate reports. OSDPS is secure and easy to use, and offers schools with a centralized area to handle all their student papers.

Objectives of the Study

  1. The system will be used to process all school-related documents.
  2. To design a system that will address to request of students records virtually.
  3. Develop a system that will serve as a repository of school documents.
  4. To design a system will be efficient and easy to use.

The Online School Documents Processing System is an application that allows users to manage their school documents online. It provides a secure and easy-to-use interface for users to upload, download, and manage their school documents.

The system consists of the following modules:

  • User Login Module: This module allows users to login to the system and access their account information.
  • Document Upload Module: This module allows users to upload their school documents into the system.
  • Document Download Module: This module allows users to download their school documents from the system.
  • System Administration Module: This module provides administrative functions for the system, including managing user accounts, uploading new documents, and managing permissions for users.

The study is guided based on the Logic Model Approach to design, develop, implement and basis for identifying and measuring the impact of the utilization of the Online School Documents Processing System.

Input

Problem Identification – the respondents of this study will be schools, specifically the in-charge of the school’s documents. They are claiming that it takes valuable time and effort to process and issue school documents to students using the manual approach. It is therefore an opportunity to the researchers to provide a solution by developing a system for school documents.

User Requirement – this is the part where the researchers have gathered information on the specific features of the system. It is very important to consider their ideas since they will be the one to use the school document processing system.

Literature Review – the researchers have conducted researches and studies that are closely related to the propose system. This process will help the researchers in the development of the project or system.

Planning and Preparation – this is the part where the researchers will prepare the timeline and scheduled of activities for the entire project.

Process

Identify the features of the system – this stage of the process cycle is where the researchers enumerates the list of features to be included in the system based on the specified requirements needed by the end-users.

Screen layout – the researchers created a wireframe for every features and form design as well. User Interface of the project is the output for this part.

ERD – entity relationship diagram represents the structural data model of the project.

Database Design – the ERD will be converted into the actual database that will be used in the project, in this case the erd will be converted into a sql database.

Use Case – the researchers also prepares a diagram on what are the features the users can access.

Programming/Coding – this is the project comes into life, the project will be developed in PHP, MySQL and Bootstrap.

Testing – the project needs to be tested before it will be implemented with live data and information.

Output

Deployment and Implementation of Online School Documents Processing System – the design of the implementation is parallel, which means that the current manual method will still be in use while the system is also up and running. The purpose of the parallel method is to compare the results of the manual to the result of the database system. Eventually the manual process will be abandoned and the full implementation of the system will took place.
