Vehicle Impoundment Information Management System

Vehicle Impoundment Information Management System

Abstract

Vehicles are held in impounding yards if used as a sanctionable offense. Impounding officers faced difficulties in managing different records and information of impounded cars. The development of computerized systems and applications eases up operations of different sectors. The use of the systematic approach will ease up the management processes and operations of the vehicle impoundment management.

The capstone project, entitled “Vehicle Impoundment Information Management System” is designed to record, process and monitor impounded vehicles. The system will electronically manage all impounded vehicle-related information. From impounding up to releasing the vehicles. The system will eliminate manual processes done to complete transactions between the impounding officers, yards, and vehicle owners.

The researchers will develop the application following the step-by-step process of the Software Development Life Cycle (SDLC) technique. The researchers will gather initial data from vehicle impounding yards and vehicle owners who experience vehicle impoundment. The data gathered will be analyzed by the researchers and used to construct and develop the system. The system will be presented to the end-user for review and testing.

The implementation of the system ease up operations and transactions related to vehicle impoundment. The impounding officer can electronically generate reports about the impounded vehicle, its status, and where yard it is stored. As for the owner of the vehicle, they can easily track where their car is being held and can easily inquire what requirements are needed and the fees for the release of their vehicle.

The system is highly recommended for it will make vehicle impoundment-related transactions easy, fast, and convenient. The system will improve the operation of the impounding yards as well as the experience of the vehicle owners.

Introduction

The “Vehicle Impoundment Information Management System” is a capstone project intended for recording, processing, and monitoring impounded vehicles. It is a system that can manage and generate processes such as impound reports, spot reports, and releasing of the vehicle to the owner after meeting the requirements.

At present, impounding yards are still full of impounded cars that are violating laws. The law allows police and private agencies to detain cars that have been impounded until the owner meets the requirements for their release. The owner and the impounding officer both encounter difficulties in informing and processing the release of the impounded vehicle. The impounding officer manually produces impound reports and spot reports which is time-consuming and is not also widely accessible and available to the owners of the vehicle. Oftentimes, the owner of the impounded vehicle will not be notified immediately that their car is impounded and would need to personally contact the impounding officer as to where their vehicle is stored. The existing system of managing impounded vehicles is not efficient and costly.

Proposed Solution

The researchers proposed an effective way of managing the impounded vehicles by using a Vehicle Impoundment Information Management System. The system will generate reports about the impounded vehicle, its status, and where yard it is stored. By using the system, the impounding officer can eliminate all paper works. As for the owner, they can easily track where their car is being held and can easily inquire what requirements are needed and the fees for the release of their vehicle. The system will let the vehicle impoundment be managed efficiently and conveniently.

Objectives of the Study

General Objective – The project’s major goal is to create a Vehicle Impoundment Information Management System that will automate the operations involved in handling impounded vehicles.

Specifically, the project aims the following objectives:

  1. Design a system that will automate processes for impounding the vehicle.
  2. The system will generate reports about the status of the impounded vehicle.
  3. The system will let the vehicle owner access information regarding the vehicle.
  4. Develop a system that will ease up managing impounded vehicles.
  5. The system is efficient, reliable, and convenient to use.

Scope of the Study

The researchers will focus on developing an application that manages all vehicle impoundment-related information. The system will have capabilities for recording, processing, and monitoring data from seized automobiles. The system will allow impounding police and vehicle owners to transact for spots and release of impounded automobiles in a timely and easy manner. The study’s sample size will be made up of vehicle impounding officials and vehicle owners.

Significance of the Study

Police/Private Impounding Agencies. The system will help them to effectively manage different impounded vehicles. The system will lessen their burden in making manual reports.

Vehicle Owner. The system will help them easily track their vehicle and complete the requirements needed for the release.

Researchers. The success of the project will contribute to their knowledge and skills in developing programs.

Future Researchers. The study can serve as their guide in developing their version of the system.

Conclusion

The researchers conducted the study to assess the problems encountered in the current system of vehicle impoundment information management. The researchers discovered that the current system requires improvement after doing extensive research and inquiry. The researchers developed an automated system that will handle and convey information about vehicle impoundment to the participants. The study’s findings revealed that the designed system satisfied the demands and requirements of the target users and respondents.

Thus, the researchers concluded that the developed Vehicle Impoundment Information Management System is an effective tool to manage vehicle impoundment information. The developed system will ease up the overall process of vehicle impoundment information management.

Recommendations

The study’s findings were significant, thus the system’s installation is strongly encouraged. Both vehicles impounding officers and vehicle owners will benefit from the new method. Vehicle impounding officers can simply manage various documents and information about the automobiles they have seized. Vehicle owners will be alerted right away that their vehicles are being held at impounding yards, as well as the conditions and fee for their release. The researchers also stress the need of having a sufficient understanding of how to operate the system.

The following are particular recommendations made by the researchers:

  1. The researchers suggested that the system be implemented in vehicle impounding yards to electronically process all paperwork and records related to seize automobiles.
  2. The researchers recommend that the system be implemented because of the efficiency and dependability it can provide to end-users.
  3. The developed system will make vehicle impoundment information management easy, fast, efficient, and convenient.
