Online School Facilities Inventory and Monitoring System with Barcode

Online School Facilities Inventory and Monitoring System with Barcode

Abstract

Technological advancements have dramatically changed how people work and accomplish everyday activities and tasks. The use of different computerized systems and applications change the way how different industries and institutions conduct their operations and transactions, the academic institutions in no exception.

School facilities have a great impact on the overall experience of students and school personnel. It is important to do inventory and monitor different school facilities to ensure that there is enough to support the needs of the students and school personnel that will use it. With this, the researchers conducted the study to assess the current system on how schools conduct inventory and monitor their facilities. The researchers aim to improve the pre-existing system by integrating the use of technology.

The capstone project,” Online School Facilities Inventory and Monitoring System with Barcode” is designed to electronically conduct inventory and monitoring of school facilities. The said project will integrate the use of barcodes that contain the details of different school facilities. The inventory and monitoring will be conducted by scanning the barcode. The automated system will ensure that there is an exact count of the facilities and everything is in a good condition.

The researchers aimed to develop the above-mentioned technology-assisted system to ease up the whole process of school facilities inventory and monitoring. The development of the system will allow the school’s management to conduct an electronic inventory of the facilities and equipment owned by the school. Conducting inventory and monitoring of school facilities will allow the school’s management to know the total value of the school’s assets, what the school owns, and to keep track of what goes missing or gets stolen.

The implementation of the system is highly recommended so that schools can closely monitor their facilities and equipment. This is to ensure that the facilities are adequate and always in a good condition. The system will be an efficient tool to prevent facilities from wearing out and from being stolen.

Introduction

The capstone project titled “ Online School Facilities Inventory and Monitoring System with Barcode” is a project that allows the school management to automate the inventory and monitoring process of their facilities. The said project will assist educational institutions to actively monitor the condition of their facilities to produce a real-time report and prevent encountering problems.

According to studies, school facilities have a great impact on the overall experience of students and school personnel. Conventionally, school management does manual inspections to check the conditions of their facilities. The manual method will require so much time to complete the inventory and monitoring and will not ensure a greater percentage than the facilities are in good condition. The schools need an efficient tool to streamline the inventory and monitoring of school facilities.

Proposed Solution

To address the concerns mentioned above, the researchers of the study proposed an Online School Facilities Inventory and Monitoring System with Barcode. The software would automate the processes in doing inventory and monitoring of the facilities in the school. The school facilities will have their unique bar codes, when scanned, will provide information and allow the schools to keep track of the condition of their facilities. By having the system, the school will closely monitor its facilities and ensure that it is always in a good condition. The system will be an efficient tool to prevent facilities from wearing out.

Objectives of the Study

General Objective – The main goal of the project is to design and develop an Online School Facilities Inventory and Monitoring System with Barcode that will assist schools in keeping track of their facilities.

Specifically, the project aims the following objectives:

  1. To develop a system that will effectively track and monitor school facilities using a barcode.
  2. The system will provide up-to-date information about the condition of the facilities.
  3. To design a system that will allow online inventory.
  4. To develop a technology-assisted tool that will eliminate inaccuracies in inventory and monitoring.
  5. The system will be efficient in preventing school facilities from wearing out.

Scope of the Study

The researchers mainly focus on designing, developing, and implementing a barcode-based school facilities inventory and monitoring system. The system will allow educational institutions to keep track and monitor the school’s facilities. The intended users of the system are schools and school’s management staff which will also participate in the study as respondents.

Significance of the Study

Educational Institutions. The system will help them prevent significant failures in their facilities. The system will do online inventory and monitoring which will ensure that the facilities in the school are complete and are in good condition.

School Personnel. The system will help them have complete facilities that are in good condition. The system will let them carry out their task conveniently.

Researchers. The researchers of the study will gain more knowledge and experience in developing programs.

Future Researchers. The study will serve as their basis in pursuing the same project or developing their version of the project.

Conclusion

The researchers conducted the study to assess how schools conduct inventory and monitoring on their facilities and equipment. The researchers found out that schools management faced serious challenges in tracking the assets they owned. The researchers aimed to change how schools conduct inventory and monitoring of school facilities. The result of the study showed that the developed system met the needs and requirements of the intended users and respondents of the project.

Thus, the researchers concluded that a barcode-based system is an effective tool for conducting inventory and monitoring of school facilities. The developed system will assist the school’s management in tracking and monitoring the numbers and condition of the school’s facilities and equipment. The system will ease up the whole process of school facilities inventory and monitoring.

Recommendations

The result of the study showed significance, thus the researchers highly recommend the implementation of the system. The researchers strongly suggest the system for its efficiency and reliability that can be rendered to the intended users. The said project will integrate the use of barcodes that contain the details of different school facilities. The inventory and monitoring will be conducted by scanning the barcode. The automated system will ensure that there is an exact count of the facilities and everything is in a good condition. The researchers also highlight the importance of having enough knowledge on how to properly use the system.

The researchers specifically recommend the following:

  1. According to the researchers, schools should install the system and use it to conduct inventory and monitor the school’s facilities.
  2. It is suggested that the researchers increase the accuracy and efficiency of inventory and facility monitoring.
  3. The system’s installation should be used to make the school’s facility inventory and monitoring simple, fast, and accurate.
