In today’s digital age, developed technologies influenced how different industries and institutions operate, and educational institutions are no exception. Educational institutions employ different technologies to facilitate learning and administration. Different software and computerized systems are used in every school department to automate processes. The development of technologies helps schools to improve and systematize business operations.

School management is an essential process for every educational institution. Efficient school management leads the school towards development and achieves the school’s mission and vision considering the welfare and benefits of its stakeholders. Therefore, digital transformation is an intensified need to automate school management processes. Digitized school management ensures an effective and efficient operation and completion of different school processes.

The capstone project, “Digital School Management” is software that allows an educational institution to digitally transform school management. Digital school management is a centralized platform that will effectively manage different areas of school management. Conventionally, the school management is done using a manual system but due to the rapid development of technology and high demand services from the stakeholders, schools management must be digitalized.

The researchers will gather information from different schools to identify and assess the current methods used for school management. The researchers will then proceed to the development process of the software. The study will go through different phases of checking, testing, and evaluation to ensure the accuracy and reliability of the developed system.

The implementation of the system will transform the manual system of school management into a digital one. The developed software will ease up schools management and lessen the problems encountered by the school’s administration. The implementation of the system will solve every school problem that has to do with computerization and reduce stress in the management of the school.

Introduction of the Study

The capstone project, “Digital School Management” is software that allows an educational institution to digitally transform school management. Digital school management is a centralized platform that will effectively manage different areas of school management. The said project will solve all modern school management problems like student management, teacher management, finance management, exam management, student payment management, and others.

School management is a complex activity for every educational institution. The school administration deals with students management, teacher management, finance management, administrator management, library management, and others. The school’s management usually uses a manual system in dealing with every school management area which is inefficient. Without digitalization, the school’s management processes are time-consuming and do not ensure high accuracy and reliability of data and information. Therefore, an digital transformation in school management is highly needed.

Proposed Solution

In conjunction with the above-mentioned concerns, the researchers proposed the development of the Digital School Management System. The system will serve as an umbrella that covers all areas of the school’s management. It will serve as a centralized platform where students, teachers and staff, finances, exams, payments, and other areas are electronically managed. The system will transform the manual system of school management into a digital one. It will ease up schools management and lessen the problems encountered by the school’s administration. The system will solve every school problem that has to do with computerization and reduce stress in the management of the school.

Objectives of the Study

General Objectives – the researchers generally aim to design, develop and implement software that will digitally transform school management.

Specifically, the researchers aim the following objectives:

1. To develop a system that will serve as a centralized platform to manage different areas of school management.
2. To digitized school management processes and operations.
3. To improve the operational efficiency of the schools in attending to the needs and demands of the stakeholders.
4. To improve and maintain the accuracy of information used in managing schools.
5. To implement a system that will contribute to the development of the schools and better serve its purpose.

Scope of the Study

The researchers mainly focus on designing, developing, and implementing a Digital School Management System. The said project is designed to streamline all management areas in school. The system is limited only to educational institutions. School personnel and students will participate as respondents to the study.

Significance of the Study

The success of the project is deemed beneficial to the following:

Educational Institutions. The success of the project will significantly benefit schools. It will improve and systematize the methods and systems used for management.

School Administrator and Management. This will ease up their job in managing all areas of school management. This will allow them to electronically manage students, teachers, financial details, and others.

School’s Stakeholders. The digitalized school management will highly benefit the school’s stakeholders. They can receive better and improved services from the school.

Researchers. Their experience in conducting the project will further enhance and improve their knowledge and skills of the researchers.

Future Researchers. The study will serve as their reference for making future updates of the system or if they wish to pursue the same project.

The Digital School Management system is a database-driven system that covers all operations and transactions to be processed in managing schools.

The following are the advantages of the Digital School Management System:

2. Records Management – it is a database system that makes school documents electronic, safe, accurate, reliable, and fast.

How the System Works

Manage Student Data – this module allows the admin to add, edit and delete data of registered students in the system. The module will let the admin manage student’s details.

The admin will encode the following data of the students:

• Surname
• Other Names
• Level – (ex. Primary level)
• Class name
• Department name
• Admission No.
• Status – (active or inactive)

Payment Transaction – this module will allow the admin to manage details of the payment transactions done by the students. This module will display the list of the latest payment transactions.

The admin will input the following payment details:

• Transaction ID No.
• Payment Purpose
• Term
• Amount
• Status – (success, pending)
• Date of Payment
• Action – (ex. print)

Manage Exam Results – this module will require the admin to manage the student’s exam results.

The module requires the admin to encode the following information:

• Term or Semester
• Level – (ex. primary level)
• Session
• Class name
• Subject name

Today, educational systems are highly influenced by the rapid development of technologies. Manual systems are restructured and transformed digitally. The researchers conducted the study to develop a digital platform in managing different areas of school management processes. The developed system is presented to the end-users for checking and testing. The result of the study showed that the developed system met the needs and requirements of the target users and respondents. The majority of the respondents respond positively and see the potential of the system.

Hence, the researchers concluded that the developed Digital School Management System is an effective and efficient platform to be used by educational institutions. The developed system will solve all modern school management problems like student management, teacher management, finance management, exam management, student payment management, and others.

The researchers strongly recommend that educational institutions adopt the use of the system to automate the school management processes.
