Sales and Inventory System in Visual Basic .Net

A sales and inventory system is a database driven business solution used to track and monitor sales and inventory. This project was designed and developed in Visual Basic.Net, SQL Server and Crystal Report.

The primary aim of this system is to convert the pen and paper based transactions of sales and inventory into an organize and automated process using the developed system.

The following are the targets of the study and system:

To design, develop and implement a feature that will secure the records of the system. It includes the login form wherein authorized personnel can access the records and as well as the backup feature that allows the user to save the database in an external storage and lastly the encryption feature that allows the users to hide some important records.

To design, develop and implement a record archiving module that will allow the users to encode the product information, customer information, supplier information and other relevant records to the organization.

To design, develop and implement a sales module that will handle the sales transaction of the company. This module is also known as the POS or the point of sale module. It is responsible for storing and recording the purchases of the customers, based on this module the system can generate a real-time inventory of items due to the fact that it is connected directly to the inventory module of the system.

To design, develop and implement a feature that allows the user to view and print sales and inventory reports.

Significance of the Study

The significance of this study/system to the end-user is that it will provide an easy way to manage the sales and inventory related transactions and reports in an effective and efficient manner.

Admin/Staff users – encoding or records, printing or reports

Customers – the system can provide their sales history and loyal customers can avail of the promos and discounts the store can offer.

Future Researchers – it would be their task to find and look for possible upgrade and updates of the system.

Researcher – the skill of the researcher will be tested on this project both technical and social skills.

Other Organization – would have an idea of upgrading from manual system to computerized transactions.

The researcher used the Rapid Application Development model for the proposed system. By undergoing to each phase of RAD Model, the researcher has to find the idea of what are the needs of the respondents that the researcher must provide through the use of the proposed system. As what the researcher had observed, the keeping of students’ record are in manual process. However, the researcher decided to propose a system entitled Sales and Inventory System in Visual Basic .net whereas, through this system the keeping of sales and inventory records will be automated. The project includes a hardware component such as the barcode scanner, receipt printer and cash register; the hardware will be used specifically in the sales of point of sale module of the system. The management can print sales and inventory report in real-time. Features developed in the project were specifically designed to address the problems encountered in the manual process. By the help of this system the monitoring of sales and inventory will be easier and faster.

Testing.  During this phase the finish application will be focus and test rather than the iteration of prototypes.  In this stage the User Acceptance Testing is perform by the researcher and the students.

Implementation.  In this stage the assimilation of the new system into the live system will be emphasis.  The transfer and migration to the live system will prepared by the development team.

Summary

The implementation of Sales and Inventory System into the organization provides a much better business process of sales and inventory system.

The manual method still works but it is prone to errors that might cause problems to the management. The primary error of a manually operated system is that the documents are not fully secure since it uses primarily on paper documents. The said problem poses a major risk since there is no protocol on how to secure those documents and no back-up method is implemented. Another concern is on the accuracy of records and report. The recommended form of solution to solve the identified problems is to use an information system that would specifically address the issues.

The system would make the business process secure, reliable, fast and accurate by developing modules such as the login form, database back-up utility, point of sale module, real-time inventory reports, archiving of records and many more. So, therefore, it is very wise to implement the inventory system for it will not just answer and solve the current issues but also to improve the business process and make the company more competitive.
