Web-based POS System

Web-based POS System

Abstract

Technology has changed the way how a business operates. The use of computer technology and the internet give businesses the upper hand in completely optimizing their businesses’ services and operations. The use of different technologies allowed big and small businesses to improve business efficiency and overall customer experience.

In business, POS refers to Point of Sale. POS is where business transactions occur. The use of a POS system will improve the productivity and efficiency of the business. The rapid growth of technology expanded point of sale technologies that provide additional features that the business can integrate with their operation.

The capstone project, entitled “Web-based POS System” is purposely designed for the business industry. The POS system will allow businesses to automate sales processes, track sales and inventory. Traditionally, business transactions are done face-to-face using manual approaches. The traditional method became outdated with the advent of technology. Businesses must keep up with the pace of technological development to meet the needs and demands of the customers.

The implementation of the web-based POS system will automate and ease up the transactions between the customers and the sellers. Payment transactions will be fast and easier with the use of the system for POS will increase the capabilities of the business in accepting different modes of payment.

The researchers highly recommend the use of POS systems in businesses. POS systems will provide businesses with greater flexibility, control, and intelligence over their business operations and transactions. The said project will improve the business productivity and efficiency as well as the customer’s experience and satisfaction.

Introduction

The capstone project, entitled “Web-based POS System” is intended to be used by those in the business industry. The POS system will allow businesses to automate sales processes, track sales and inventory. The said project will ease up the transactions between the customers and the sellers as well as the flow of information across the different departments of the business.

Traditionally, business transactions are done face-to-face using manual approaches. The traditional method became outdated with the advent of technology. Early POS systems offer limited features and functions that a business can use and integrate into its business. The rapid growth of technology offers more advanced point-of-sale technologies. Businesses must keep up with the pace of technological development to meet the needs and demands of the customers.

Proposed Solution

As mentioned above, an early POS system is not enough to fully optimize the capabilities of the businesses. With this, the researchers proposed a Web-based POS system that is more advance and offers a lot of benefits to a business. The web-based POS system automates sale processes. It will allow fast and easier transaction, payment transactions specifically between customers and business staff. The customers will electronically pay for goods or services they avail and then the system will provide the electronic receipt of the purchases. The web-based POS system allows electronic tracking of sales and inventory. The said system will provide businesses with greater flexibility, control, and intelligence over their business operations and transactions.

Objectives of the Study

General Objective- The main goal of the researchers is to design, develop and implement a web-based point of sale system that will automate sales processes, tracking of sales and inventory.

The researchers specifically aim the following objectives:

  1. To design a web-based point of sale system that will allow fast and easier business transactions.
  2. To provide more payment options for the customers.
  3. To expand the customer base of businesses.
  4. To automate the sales processes of the business.
  5. To electronically track sales and inventory.
  6. To easily generate reports on the transactions processed and complete within the business.

Scope of the Study

The researchers will mainly focus on designing and developing a web-based point of sale system that will automate sales processes, tracking of sales and inventory. The system is limited only to businesses that offer products and services to customers. A sample size of business staff and customers will participate as respondents to the study.

Significance of the Study

The success of the study is significant to the following individuals or groups:

Businesses/Companies. The said project will improve the business productivity and efficiency as well as the customer’s experience and satisfaction.

Customers. The success of the project will allow them to easily and conveniently purchase products or services without investing too much time and effort.

Researchers. The project will further improve the knowledge and skills of the researchers.

Future Researchers. The study will serve as a guide if they wish to create their version of the project.

Development Tools

The capstone project, “Web-based POS System” is specifically designed for the business industry. The system will streamline the sales processes, tracking of sales and inventory, and payment transactions of customers.

This article will provide you with an idea on what are the forms and modules to be included in a Web-based POS System.. PHP and Bootstrap were used to develop the said template.

Documentation of the project is available upon request (chapters 1 to 5). Feel free to message us for the complete documentation of the project.

Project Highlights

The Web-based POS System is a database-driven system that electronically processes business transactions between customers and business employees. The system will collect and generate reports about the completed transactions in the system.

Listed below are the advantages of the system:

  1. Automated Transactions- transactions for sales and inventory are done electronically
  2. Records Management – it is a database system that makes the records of transactions electronic, safe, accurate, reliable, and fast.
  3. Report Generation – the system automatically generates and provides real-time reports about the completed transactions in the system.

How the System Works

This section of the paper will discuss the forms, modules, and user interface of a Web-based POS System. Below is the discussion on how the system will work.

Admin Dashboard – This dashboard serves as the main page of the system administrator when logged in to the system. The administrator’s dashboard mainly displays the following information:

  • # of Customers
  • # of Sales
  • # of Purchase Invoice
  • # of Sales Invoice
  • Total Purchase Due
  • Total Sales Due
  • Total Sales Amount
  • Total Expense Amount

Shown below is the design of the Administrator’s dashboard.

Add product – this form will allow the admin to add products to the system. The admin will encode the following information about the product:

  • Product name
  • Brand name
  • Unit
  • Category name
  • Subcategory name
  • Barcode Type
  • Alert Quantity
  • Applicable Tax name
  • Selling Price Tax Type
  • Product Type

Sales Invoice – this form will allow the system administrator to manage the sales invoices in the system. The admin will enter the following information:

  • Customer Type
  • Item Name
  • Stock
  • Quantity
  • Price
  • Subtotal

Purchase Invoices – this form will require the admin to manage records and details of purchase invoices.

The admin will input the following information:

  • Company name
  • Supplier details
  • Invoice #
  • Purchase Status -(ex. Received)
  • Purchase Total Amount
  • Date Purchased
  • Payment Type -(ex. Cash)

Conclusion

The researchers conducted the study to assess the use of the Point of Sale System in businesses. The researchers have found out that the earlier POS systems offer limited features and functions to companies in streamlining business processes. With this, the researchers developed a more advance web-based POS system. The developed system was presented to the target users. The result of the study showed that the developed system met the needs and requirements of the respondents and the intended users. The majority of the respondents have seen the potential of the system in advancing the functions of POS technologies.

Thus, the researchers concluded that the developed web-based POS system is an effective tool for businesses. The web-based POS system will provide businesses with greater flexibility, control, and intelligence over their business operations and transactions. The said project will improve the business productivity and efficiency as well as the customer’s experience and satisfaction.

Recommendations

The researchers highly recommend the implementation of the Web-based POS system. The developed system is recommended for its efficiency and reliability that can be rendered to the target users. The implementation of the web-based POS system will automate and ease up the transactions between the customers and the sellers. The researchers also highlight the importance of having enough knowledge on how to properly operate the system.

The researchers specifically recommend the following:

  1. Companies should adopt the use of the system to improve their productivity and business efficiency.
  2. The customers can use the system to process transactions in purchasing goods and services.
  3. The implementation of the Web-based POS System is highly recommended for it will allow fast and easier business transactions.
